When a new member request to join a group, group moderators receive a notification similar to the one below here:

The notification doesn't provide much information, besides the member's email address, location, and IP address.

If you want to know more from the member before approving the membership request, you can set up the process as explained below

Enable the Pending Subscription notice

  • Under Admin >> Member Notices, click to New Notice.
  • In the page that opens, select Pending Subscription under Notice type


  • (If you want, you can change the default notice Name and Subject line).
  • Add the text you want to include in the notice - an example is provided at the bottom of the page.
  • Click Add notice to save an active.

From now on, members that has requested to join your group will receive the Pending Subscription email generated by the system.

If they reply - and their answer confirms they should be entitled to join your group, you can then go back to the Pending members list and approve their membership request.

Thank you for your interest in joining the [groupName]@dgroups.io group. As membership in this group is restricted, we would need some further details in order to process your application.


Please provide us with the following information:

  • Title (e.g. Ms, Mrs, Mr):

  • First Name and Last Name:

  • Organisation/Business:

  • Position:

  • Country:

  • Why do you want to join the group?:

Your personal information will only be used to screen your application and will not be shared with other users' or third parties.


Thanks for replying to this message within 14 days from now - after this period, your membership request will expire and you will have to resubmit it again.
